How does the modern services sector work and recruit during a pandemic? Part 4

For the safety of our employees, from 16/03/2020 we decided to implement 100% remote work until further notice. Our office, however, remains open in the event of emergencies. Nevertheless, before entering the office, it is the responsibility of keeping a proper distance between employees, wearing masks and disinfecting hands. We have created a calendar in which we inform about planned arrival to the office. In this way we avoid excessive number of people in one room. In practice, however, the vast majority of employees remain at home.

In summ-it, managing total remote work was relatively easy to implement because each of our employees is equipped with an individual laptop with a VPN in it that allows access to all necessary data. Our employees not only during this difficult time, but also on a daily basis have the opportunity to work remotely, which is why the change did not significantly affect our work culture.

All meetings take place using the Microsoft Teams application, which keeps employees in constant contact. As part of the integration of the entire team, we meet at "virtual coffee" every day at 13:00, and every two weeks we organize an "all hands" meeting, where we present the current situation in the organization. This is the key to good communication and awareness of what is currently happening in the company.

Recruitment processes are conducted remotely. Immediately after the selection of CVs sent, the first stage is telephone contact with selected candidates. The interview aims to meet the candidate and his expectations. The next stage is an interview with a direct supervisor using MS Teams, aimed at checking the knowledge and skills required for a given position.

The onboarding process has been adapted to the current situation and is also conducted completely remotely. The first such process in summ-it took place on April 1. The whole day of training was planned by means of a teleconference, during which all the steps of the implementation process at the workplace were completed.

MARS Global Service Finance and MARS Global Service Commercial

We know that Mars is primarily associated with bars or Poznań Mars Wrigley gum factory. This is good because we transfer the best security practices from the factory! The health, safety and comfort of work of our Co-workers, their families and all people with whom we contact in the course of business are our absolute priority. We want to make sure that we do everything to prevent the virus from spreading.

From recruitment to employment, implementation into the organization, team and position is completely virtual. The last weeks have taught us a lot and we have improved our approach. We monitor and constantly adapt to the feedback received to improve the experience of candidates and Associates.

RECRUITMENT
All recruitment stages are carried out via Skype or MS Teams. The final stage of recruitment is carried out by a recruiting manager who specifies the expectations of the position and answers the candidate's questions. The form of contact has changed, but not our approach: we are still looking for people who will want to start a long-term career with us.

EMPLOYMENT
During employment, we operate with the help of couriers to provide necessary documents and equipment. We minimize the need for occupational medicine examinations. In cases where they are necessary, we pay to get to the place by taxi to a private medical facility. We are aware that work equipment and tools are necessary to start work efficiently.

We know that being aware of what will happen helps minimize the stress of change. Therefore, before starting work, new Associates can count on ongoing contact with both the Talent Acquisition team and the supervisor. We are looking forward to every new Associate!

ONBOARDING OF NEW EMPLOYEES
Thanks to the use of Skype or MS Teams, we not only implement training, but also get to know each other, integrate and exchange experiences. In this way, we care about the sense of belonging to Mars Global Services. We constantly implement the implementation training plan, only their form changed - to the virtual version. Both the immediate supervisor as well as helpful colleagues from the team are involved in the on-site implementation. It cannot be hidden that we miss joint meetings, which is why we use the remote work period, among others planning how to catch up when we get back to the office!

#REMOTE WORK

For the sake of the health and safety of our employees, we are currently working remotely at Sollers Consulting. Thanks to the home office policy, we were prepared for this challenge, although we must admit that we lack the moments spent together in the office. We try to do everything to recreate the same work atmosphere at home. The Scrum methodology came to the rescue. So we join our Scrum meeting every morning within our teams. Thanks to this, we can see the whole team and know at what stage in the implementation of a given task we are.

In March, we also faced the challenge of reorganizing the onboarding process. As in the case of recruitment, we were able to adapt the completely remote process, and we can boast of the successful implementation of 17 employees from 3 different countries.

#EMPLOYER BRANDING

Sollers Consulting has always been an active participant and organizer of employer branding events. We miss the opportunity to meet the candidates - that's why we decided to find an alternative solution - webinars. So far there have been held: "The advantages of Agile in uncertain times" and "Sollers meet-up".

#INTEGRATION

We focus on teamwork, which is why integration is extremely important to us. The creativity of our Sollers knows no bounds. Puns, conversations with a glass of wine after working hours are just a few examples of such meetings. On our messenger, Sollers gladly share interesting online initiatives (arts, yoga classes), but also ideas for creative activities for children.

From the very start of the pandemic we were closely monitoring the situation and took necessary steps to start working remotely. Our employees are used to work from home from time to time, as we are providing them with all the necessary tools and access to the internal network. Of course, we have never experienced such exceptional and difficult situation that forced us to work entirely from home, with no definite time frame. However, home office proved to be effective.

Lack of direct contact with other team members and management might be difficult for many employees, so we are working hard to make it more feasible and keep our spirits alive! The management teams are focusing on staying in direct touch with all their employees, supervise their work, give feedback and engage in various off work activities. Working from home has brought the teams closer, and showed how important it is to communicate with other colleagues. We are eagerly using cameras in each meeting to show how we live, spend our time, we get to know our families. This helps us to get over the outside situation and to keep our service and the team spirit at the highest level.

We also spend a lot of time off work together. Our employees created e-sports team and regularly meet online after work to conquer virtual worlds. Those who want to get into shape are using modern technology to train together and even compete against each other in various sports disciplines using mobile applications.

Our office remains open, and there are still few individuals who prefer to work from the office. We keep the distance, sanitize the whole work area and use personal protection equipment to keep ourselves safe.

The entire recruitment process takes place remotely. Candidates are being interviewed via MS Teams in a video conference with the management team. If they succeed, all contracts and tools are being shipped to the new hire's home address to ensure safety of our employees. All the trainings and meetings are taking place online, using communicators/IMs and learning platforms.

During all this time we stay in direct touch with new hires to make them feel welcomed, as we do understand this might not be the onboarding they are used to.
